How to compare pump spare-part quotations
The lowest unit price is only meaningful when the offers cover the same requirement. A quotation comparison should expose differences in technical basis, acceptance evidence and commercial inclusions. A short comparison sheet often resolves more uncertainty than several rounds of asking for a discount.
Freeze the comparison basis
Put the RFQ revision, component reference, quantity and delivery destination at the top of the comparison. If a bidder used an earlier drawing, obtain a revised response before comparing it with offers based on the current revision.
| Compare | Question to resolve |
|---|---|
| Material and condition | Does each offer accept the same specification? |
| Inspection records | Which reports and approval stages are included? |
| Quantity basis | Does the price include samples, tooling or minimum batch conditions? |
| Packing and delivery | Which costs and responsibilities are included or excluded? |
| Timing | What starts the quoted lead time and what approvals may affect it? |
Distinguish omissions from deviations
An omission leaves a requirement unanswered. A deviation proposes a different requirement. Treat both as open items until clarified, but do not describe an unanswered field as an accepted alternative. Record the bidder’s written response beside the affected requirement.
Compare an illustrative case
Offer A includes a dimensional report but excludes material evidence. Offer B includes both. Before deciding that B is more expensive, ask A to price the same documentation package. Likewise, a shorter lead time may start after drawing approval while another starts after order acceptance. Normalize those conditions without inventing a common date.
Close the decision record
Keep the selected offer, accepted deviations and final scope together. Carry them into the purchase order so the agreement does not depend on a disconnected email thread. Record who approved technical exceptions and who approved commercial terms.
Questions buyers ask
Should every bidder use one form?
A common response matrix makes comparison easier, especially for material, inspection and exclusions. Attach it to the same controlled RFQ pack.
Can a lower-priced substitute be accepted?
Only after the proposed change is technically reviewed and explicitly approved for the intended requirement.
