Pump component RFQ checklist for industrial buyers
A useful pump-component RFQ gives each bidder the same technical and commercial starting point. A part name and quantity may begin a conversation, but they leave too many assumptions for a dependable comparison. Build one enquiry pack and identify its revision so that every clarification can be traced back to the same requirement.
Start with the controlled part definition
List the equipment reference, component location, part number and drawing revision. Include the required quantity and distinguish initial samples from a production batch. If the drawing is unavailable, say so: attach photographs or sample information as supporting evidence and identify who will approve the final definition.
| RFQ section | Include | Avoid |
|---|---|---|
| Technical basis | Drawing, revision, material, tolerances, finish | Treating a worn sample as a complete specification |
| Acceptance | Required reports, witness points and approval stages | Asking for undefined “standard quality” |
| Commercial scope | Quantity, destination, packing, required date | Comparing unit prices with different inclusions |
Make unknowns visible
Use a clarification register with columns for the question, responsible party, response and closure date. For example, if a sleeve drawing specifies a material but omits the condition, mark the condition as unresolved rather than assuming a stock option is acceptable. Ask bidders to identify exclusions and deviations explicitly.
Agree how the order will be accepted
State which records are needed with the component and which require approval earlier. A material record, dimensional report and packing list serve different purposes. If inspection by a customer or third party is expected, include that requirement before pricing and scheduling.
Before sending
Confirm that filenames and drawing title blocks agree, attachments open correctly and the delivery destination is unambiguous. Ask the recipient to acknowledge the pack revision. Keep later changes in the same controlled record so a revised quotation can be distinguished from the original.
Questions buyers ask
Can I request a budget estimate with missing information?
Yes, but label it as preliminary and record the assumptions. A budget estimate is not an approved manufacturing specification.
Should I include the lowest target price?
A target may support commercial discussion, but first define the required scope and evidence so price pressure does not hide exclusions.
Next: compare quotations and control drawing revisions.
