Inspection records for pump replacement components

“Inspection certificate required” is an incomplete instruction. Buyers should define which evidence is needed, what it must reference and when it must be reviewed. This helps the supplier plan the work and prevents a document package from being assembled only after the component is ready to ship.

Separate the evidence types

Record What to establish
Material evidence Specified material requirement and a meaningful link to the supplied component or batch
Dimensional report Drawing revision, measured features, acceptance criteria and results
Identification record Part, quantity and batch or individual identifiers where required
Deviation approval Requirement affected, accepted exception and authorized approval
Packing list Delivered items and quantities; it is not a dimensional inspection report

Define inspection before manufacturing

Identify any hold or witness points, required reporting format and approval responsibilities in the enquiry. If a feature needs particular measurement access or a report before assembly, make that requirement visible early. Do not assume a generic final report will answer every acceptance question.

Review links between records

A material document and a dimensional report are useful only when their relationship to the delivered item is clear. Check identifiers, revisions and quantities across the pack. Where a batch is split, ask how the records follow the delivered portion.

Resolve exceptions without hiding history

Suppose a report contains a result outside the stated requirement. Record the disposition and responsible approval rather than replacing the result with a vague pass statement. If an additional check is performed, keep its relationship to the original finding clear.

Questions buyers ask

Do all orders need the same document package?

No. Define evidence appropriate to the agreed requirement and risk. Extra paperwork that does not answer an acceptance question may add cost without clarity.

Does a report replace technical approval?

A report records evidence. Acceptance of a deviation or design change still needs the responsible approval.
